ScanBook is committed to protecting your privacy. This policy explains how ScanBook Pty Ltd ("ScanBook", "we", "us", "our") handles information in connection with your use of scanbook.com.au and any related pages (the "Site").

1. Our commitment to privacy

ScanBook is subject to the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). We take our obligations under this legislation seriously and collect only the personal information necessary to operate the Site and its listing services.

2. Who this policy applies to

This policy applies to two types of people who interact with ScanBook:

  • General users — patients, carers, and healthcare professionals who search and browse the directory
  • Radiology providers — clinics and their authorised representatives who submit or manage a listing on the Site

3. Information we collect — general users

ScanBook does not require general users to create an account or provide any personal information to search the directory. We do not collect your name, email address, or health information.

Our hosting infrastructure may automatically record basic server log data when you visit the Site, including your IP address, browser type, and pages visited. This data is retained for security and operational purposes only, is not linked to any individual, and is not shared with third parties.

4. Information we collect — radiology providers

When a radiology provider submits a new listing or requests an update, we collect the following personal information from the person submitting the request:

  • Full name of the contact person
  • Phone number of the contact person
  • Email address of the contact person
  • Their role or relationship to the provider (e.g. practice manager, owner)

We also collect the following information about the radiology provider, which will be displayed publicly on the Site:

  • Clinic name and trading name
  • Physical address
  • Public phone number and email address (for patient enquiries)
  • Services, modalities, and equipment offered
  • Opening hours

The contact person's name, personal phone number, and personal email address are collected for internal verification and communication purposes only. They will not be displayed publicly on the Site.

5. How we use your information

Personal information collected from radiology providers is used solely for the following purposes:

  • Verifying the identity and authorisation of the person submitting a listing
  • Communicating with the provider about their listing (e.g. to confirm, update, or remove details)
  • Responding to queries or disputes about listing accuracy
  • Complying with legal obligations

We do not use personal information for marketing purposes, and we do not sell or share personal information with third parties except as described in this policy.

6. Public listing information

Information submitted for display on a provider listing — including the clinic's public phone number, address, and services — will be visible to all users of the Site. By submitting this information, the provider consents to its public display on ScanBook.

If a provider wishes to remove or amend their publicly displayed information, they may contact us at the address in section 15.

7. Accuracy of listed information

ScanBook is committed to maintaining accurate and up-to-date listing information. However, radiology centre details — including services, opening hours, and contact information — can change without notice and may not always reflect the current position.

We strongly recommend that users confirm all details directly with the radiology centre before attending. ScanBook accepts no liability for decisions made in reliance on information that has since changed or been found to be inaccurate.

8. Disclosure of personal information

We will not disclose personal information to third parties except:

  • Where required or authorised by Australian law
  • To our service providers (e.g. hosting, email) who are bound by confidentiality obligations and may not use the data for their own purposes
  • With your express consent

ScanBook does not disclose personal information to overseas recipients at this time. If this changes, we will update this policy accordingly.

9. Data security

We take reasonable steps to protect the personal information we hold from misuse, interference, loss, and unauthorised access, modification, or disclosure. Personal information collected from providers is stored securely and accessed only by authorised ScanBook personnel.

No method of transmission over the internet is completely secure. While we strive to protect your information, we cannot guarantee absolute security.

10. Data retention

We retain personal information collected from providers for as long as their listing is active on the Site, and for a reasonable period thereafter in case of disputes or legal obligations. Once no longer required, personal information is securely deleted or de-identified.

12. Health information

ScanBook does not collect, store, or process any health information about users. The Site is a directory service only — we do not facilitate consultations, referrals, or the exchange of clinical information between users and providers.

13. Access, correction and complaints

Under the Australian Privacy Principles, you have the right to request access to personal information we hold about you and to request corrections if that information is inaccurate, incomplete, or out of date. To make a request, contact us at the address below.

If you believe we have not complied with our obligations under the Privacy Act, you may contact us directly. If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

14. Changes to this policy

We may update this Privacy Policy from time to time. The current version will always be available at this page, with the effective date updated accordingly. We encourage you to review this policy periodically.
